If everyone uses them, an even split is easy to defend. Enter staples as their own payment and use "Change shares for this payment only" to set everyone to 1.0, while regular groceries keep the reduced ratio.
Untick them under "Target Members" on the shopping runs they don't share. If they only want one or two items from a run, use "Change shares for this payment only" to set a fixed amount for them, and the rest of the receipt is split among the others.
Record each top-up with "Give to Organizer" and choose "Organizer pays" for groceries bought from the kitty. The settlement shows whether anyone has put in more or less than their share.
Monthly works well alongside rent. Record each transfer under "Settled payments", lock the month, and duplicate the event from the history on the home page to start the next one with the same roommates and ratios.
