Frequently Asked Questions
One way is to split drinks separately from food. Say food is $240 and drinks are $120, with 6 adults (4 drinking) and 4 kids. Split the food by Adult 1.0 and Kid 0.5 ($30 per adult, $15 per kid) and the drinks only among the 4 drinkers ($30 each): a drinker pays $60, a non-drinking adult $30 and a kid $15.
A ratio, such as non-drinkers at 0.6, scales with the size of the bill. A flat Special Rule, such as "Drinks +$10", adds a fixed amount to each drinker and takes the same total off everyone else. If the drinks were on their own receipt, splitting that receipt among the drinkers is the most exact.
On the drinks receipt, use "Change shares for this payment only" and give each family a ratio equal to its number of drinkers, for example the Parkers 1 and the Lees 2. The food keeps the usual adult and kid ratios.
Record each family's $20 with "Give to Organizer", then choose "Organizer pays" when the meat and charcoal are bought from that money. The settlement works out any leftover to refund or any shortfall.
If they bought charcoal or propane for the group, log it as an expense they paid. For the grill itself, you could add a Special Rule such as "Grill host -$10", which lowers their share and spreads that amount across everyone else.
