Whether half-day helpers should pay less depends on what your group sees the stall costs as: if everyone is chipping in for an effort they share, a lighter share for someone who covered one shift is easy to justify. A ratio puts that into numbers, for example full-day helpers at 1.0 and half-day helpers at 0.5. Say 6 full-day and 4 half-day helpers share $400 in stall costs. The total ratio is 8.0, so a full-day helper pays $50 and a half-day helper pays $25. The harder part is that the $400 was never one bill: one parent picked up cups and napkins, another bought ingredients, someone paid for the banner, and weeks later nobody is sure who is still out of pocket. Frequently Asked Questions
A ratio of 0.5 is a simple starting point. With 6 full-day and 4 half-day helpers sharing $400, that's $50 and $25. If the afternoon shift also includes setup or cleanup, 0.6 or 0.7 may feel fairer, and you can change the ratio before you settle.
If they'd like to be paid back, log the ingredients as an expense they paid and it's credited like any other receipt. If it's a donation, simply leave it out.
Register each family as one member and set how many full-day and half-day helpers it sent. A family with one full-day parent and one half-day teen has a weight of 1.5, and the settlement shows one transfer per family.
Record each $20 with "Give to Organizer" and choose "Organizer pays" for supplies bought from that money. The settlement works out the surplus to refund or the shortfall to collect.
Untick everyone else under "Target Members" on that receipt. Only the drinks table team shares it, and their full-day or half-day ratios still apply.
